How to Use Your DigitalRateCard Dashboard
Everything you need to set up, manage, and grow your store — from adding products to tracking sales and managing customers.
Go to Settings from the top navigation. Configure your business info, logo, appearance, and hours. Complete this first before adding products.
1
WhatsApp Number
Enter your 10-digit WhatsApp number (without +91). Customers will use this to contact you. Appears as a "WhatsApp" button on your store page.
2
Store Description
Write 2–3 sentences describing what you sell or offer. Shown at the top of your store page to help customers understand your business.
3
Store Logo
Upload your business logo (JPG, PNG, or WebP, max 5 MB). Square images work best. Appears at the top of your public store.
4
UPI ID Optional
Enter your UPI ID to display it on invoices you send to customers. Helps them pay directly via any UPI app.
5
Google Review Link Optional
Paste your Google Business review link. A "Review us on Google" button will appear on your store page so happy customers can leave you a review on Google Maps.
6
Custom Store Colour Growth+ Plan
Pick a primary colour matching your brand. Used for buttons, highlights, and section headings on your store page.
7
Announcement Banner Growth+ Plan
Add a short message displayed as a banner at the top of your store — useful for sales, new arrivals, or seasonal offers. Leave blank to hide.
8
Business Hours Growth+ Plan
Set opening and closing times for each day of the week. Your store automatically shows an "Open Now" or "Closed" badge based on the current time.
9
Lead Notification Email
Toggle this on to receive an email alert every time a customer submits a callback enquiry on your store. Useful to respond quickly without checking the dashboard.
10
Change Password
Scroll to the bottom of Settings to update your login password. Enter your current password, then your new password twice to confirm.
Tip: Click Save Settings after making any changes. Changes go live on your store immediately.
Go to Catalog → Categories tab. Categories help customers browse your catalog — for example "Veg Items", "Non-Veg", "Beverages" or "Stitching", "Embroidery".
1
Click "Add Category"
Enter a category name (e.g. "Sarees", "Breakfast", "AC Repair") and save. Add as many as your plan allows.
2
Arrange Order
Categories are shown in the order you create them. Rename or delete at any time using the Edit and Delete buttons next to each one.
3
Assign to Products
When adding a product, assign it to one of your categories. Customers can then filter your catalog by category on your store page.
Note: If you only sell one type of product, you can skip categories and add products directly.
Go to Catalog → click "+ Add Product / Service". Each item appears on your public store after admin approval (usually within a few hours).
| Field | Required? | Description |
| Name | Required | Keep it clear and specific (e.g. "Cotton Saree", "Full Arm Blouse Stitching"). |
| Type | Required | Choose Product for physical goods or Service for work/labour. |
| Price (₹) | Required | Enter the price. Use 0 if price varies and you want customers to enquire. |
| Category | Optional | Assign to one of your store categories for filtering. |
| Description | Optional | Add details — size options, materials, delivery time, what's included. |
| Photos | Optional | Upload up to 2 photos on Free plan (more on paid plans). JPG, PNG, WebP, max 5 MB each. |
| Featured | Optional | Mark best items as featured — they appear at the top of your catalog. |
| Delivery Available | Optional | Toggle on if this item can be delivered. Shows a "Delivery Available" tag on the store. |
Stock Toggle — Mark Out of Stock
On the Catalog list, each item has a stock toggle button. Click it to instantly mark an item as Out of Stock. The item stays visible on your store but shows an "Out of Stock" badge so customers know it's unavailable. Toggle it back to restore availability — no need to delete and re-add items.
✓
After Submitting
Your item shows as Pending until reviewed by admin. Once approved it goes Live. You can edit or delete items any time — edits go live immediately without re-approval.
Tip: Products with clear photos and a proper price get more enquiries. Even a basic phone photo is better than none.
Go to Dashboard. At the top you will see your store URL and QR code. Use these to share your store anywhere.
WhatsApp
Click the green WhatsApp button next to your store URL to instantly share your catalog link with anyone on WhatsApp.
Click "Copy" to copy your store link. Paste it in your Instagram bio, Facebook page, or WhatsApp status.
QR Code
Download the QR code PNG and print it. Stick it at your counter, on your visiting card, or share it as a WhatsApp image.
Business Card
Go to Dashboard → Business Card to print a professional digital business card with your store QR code. Great to hand out to walk-in customers.
Tip: Put your store link in your WhatsApp status — all your existing contacts will see it without you having to message them individually.
Go to Sales from the top navigation, then click the Orders tab. Use this to record and track every order you receive — whether the customer called you, WhatsApp messaged you, or walked in.
1
Create a New Order
Click + New Order. Enter the customer's name, phone, and items. You can select from your catalog or type a custom item. Add quantity and price for each line.
2
Apply Discount Code
If the customer has a discount code, enter it on the order form. The discount is automatically calculated and deducted from the order total.
3
Update Order Status
Orders move through statuses: Pending → Confirmed → Completed (or Cancelled). Update the status as the order progresses so you always know what needs attention.
Tip: Use Orders for tracking who ordered what. Use Invoices when you need to generate and share a formal bill (PDF) with the customer.
Go to Sales → Invoices tab. Generate a proper bill for any sale — pick products from your catalog, add quantities, enter customer details, and download a PDF in one click. Invoices are private to you and never visible to the public.
1
Click + Create Invoice
You'll see a form to build the invoice line by line. Select a product from your catalog using the dropdown — name and price auto-fill. Enter the quantity and the line total is calculated automatically.
2
Add custom items or delivery charge
Need to bill for something not in your catalog? Click + Add Custom Item and type the name and price. If delivering, choose Delivery, enter the charge — it's added to the grand total automatically.
3
Enter customer details and save
Fill in the customer's name, phone, and optional address. Click Save Invoice. A unique bill number is auto-assigned (e.g. INV-2026-0001).
4
Download PDF and share
On the invoice view page, click Download PDF. A print dialog opens — select "Save as PDF". Send the PDF to the customer on WhatsApp. You can also use the WhatsApp Share button directly on the page.
5
Record payment when received
Once the customer pays, click Mark Paid on the invoice. You can record the payment method (cash, UPI, bank transfer), reference number, and amount paid. This helps you track outstanding invoices.
Monthly tracking: The Billed This Month card on your Dashboard shows the total amount invoiced this month across all paid and sent invoices.
Go to Sales → Expenses tab. Record every cost your business incurs — rent, raw materials, packaging, electricity, salaries, and more.
1
Add an Expense
Click + Add Expense. Enter the description (e.g. "October Rent", "Packaging material"), the amount in ₹, and the date. Choose a category like Rent, Raw Material, Salary, or Other.
2
View Monthly Expenses
All expenses are listed with date, category, and amount. The total for the current month is shown at the top of the page so you can spot if costs are running high.
Tip: Log your expenses regularly — even weekly. Accurate expenses are what make your P&L report meaningful.
Go to Sales → P&L tab. This report automatically calculates your Revenue (from paid/sent invoices), Expenses (from your logged costs), and Net Profit for any period you choose.
Revenue
Total billed from invoices marked as Paid or Sent in the selected period.
Expenses
Total of all expense entries you logged in the selected period.
Net Profit
Revenue minus Expenses. Positive = profit. Negative = loss. Know exactly where you stand.
Date Filter
Filter by any date range — this month, last month, a full quarter, or a custom period.
Note: P&L is only as accurate as what you enter. Make sure to log all invoices and all expenses consistently.
Go to Sales → Appointments tab (or navigate directly to /owner/appointments). Useful for service businesses like salons, tailors, repair shops, doctors, and tutors who work by appointment.
1
Book a New Appointment
Click + New Appointment. Enter the customer's name, phone, the service/item, date, time, and any notes. The appointment is saved immediately.
2
Update Appointment Status
Appointments move through: Scheduled → Confirmed → Completed (or Cancelled/No-Show). Update as the appointment progresses. Completed appointments stay in your history.
3
View Upcoming Appointments
The appointments list is sorted by date so you can see what's coming up today, tomorrow, and through the week at a glance.
Tip: When a customer calls to book, create the appointment right away while you're on the call so you never miss a booking.
Go to Customers from the top navigation. When a customer clicks "Request Callback" or "WhatsApp" on your store page, their details are saved here automatically.
Callback Leads
Customer submits their name and phone requesting a callback. Call or WhatsApp them directly from the Leads page.
WhatsApp Leads
Customer tapped your WhatsApp button. The click is recorded so you know which product they were interested in.
→
Export to CSV
Click "Export CSV" on the Leads page to download all your leads as a spreadsheet. Useful for follow-ups and record keeping.
Tip: Follow up with leads within 24 hours — quick responses convert far more customers. Enable Lead Notification Email in Settings so you get an instant alert.
Go to Marketing from the top navigation. Create discount codes to share with customers during festivals, promotions, or as a loyalty reward. Codes can be applied when you create an Order.
1
Create a Discount Code
Click + New Code. Enter a code (e.g. DIWALI20), choose the discount type — Percentage (e.g. 20% off) or Fixed Amount (e.g. ₹100 off). Set a minimum order value and expiry date if needed.
2
Share the Code with Customers
Share the code via WhatsApp or Instagram. Tell customers to mention the code when they contact you. You apply the code on the Order form and the discount is calculated automatically.
3
Enable / Disable Codes
Toggle any code on or off at any time. Disabled codes cannot be used. Use this to pause a promotion without deleting the code.
Go to Reviews from the top navigation. This shows all testimonials submitted by customers from your store page. You control which reviews appear publicly — approve or reject each one yourself.
1
How Customers Submit Reviews
At the bottom of your public store page there is a "Leave a Review" form. Customers enter their name, a star rating (1–5), and a comment. The review is submitted and held for your approval.
2
Approve or Reject Reviews
In your Reviews tab, each pending review shows with an Approve and Reject button. Approved reviews are shown publicly on your store. Rejected reviews are hidden. You are in full control.
3
Google Review Link
In Settings, add your Google Business review link. A "Review us on Google" button will appear on your store page, letting customers leave you a review directly on Google Maps — which helps your local search ranking.
Tip: Ask happy customers to leave a review by sharing your store link and saying "Scroll to the bottom to leave a review." Even 3–4 good reviews build a lot of trust for new visitors.
Go to Settings → Social Links section (or navigate directly to /owner/social). Links appear as clickable icons at the bottom of your public store page.
| Platform | What to Enter |
| Instagram | Your full Instagram profile URL (e.g. https://instagram.com/yourbusiness) |
| Facebook | Your Facebook page URL |
| YouTube | Your YouTube channel URL |
| Twitter / X | Your Twitter/X profile URL |
| Website | Your own website URL if you have one |
Tip: Adding your Instagram link is especially useful — customers who like your products often want to follow you for new arrivals and updates.
Go to Settings → Pincodes (or navigate directly to /owner/pincodes). Add the 6-digit pincodes of areas you deliver to. Customers can check from your store whether you serve their area.
1
Add a Pincode
Enter a 6-digit pincode and click Add. Repeat for every area you serve. Add your own shop's pincode as the primary location.
2
Set Primary Pincode
Mark one pincode as primary — this is your main business location, shown on your store profile.
3
How Customers Use It
On your store page, customers can type their pincode into a "Check Delivery" box. It instantly shows "We deliver to your area ✓" or "Sorry, not available in your area."
Note: The pincode check only appears on your store if you've added at least one pincode. If you don't offer delivery, you can skip this section.

Monthly Summary Email: On the 1st of every month, you automatically receive an email with your previous month's storefront visits, new leads, top product, and total billed — so you always have a record even without logging in.
Go to Dashboard → click "Business Card" button. This generates a print-ready digital business card — front side has your store branding, back side has your contact details and QR code.
1
Preview your Business Card
The card is auto-populated with your business name, store URL, WhatsApp number, address, and QR code. No manual entry needed — it uses your Settings data.

Click Print Business Card. In the print dialog, select "Save as PDF" to save it digitally, or connect to your printer to print directly. The card is sized to standard business card dimensions.

Why is my product showing "Pending"?
Every product you add is reviewed by the DigitalRateCard team before going live. This usually takes a few hours. You will see it change to "Approved" once done.
My store shows "Coming Soon" to customers. Why?
Your store account needs to be approved by the admin first. Once approved, "Coming Soon" is replaced with your real store. Check your Dashboard for approval status.
How do I mark a product as Out of Stock without deleting it?
Go to Catalog and click the stock toggle button on the item. It will be marked Out of Stock on your store but stay in your catalog. Toggle it back when stock is available again.
Can I change my store URL / slug?
Your store URL is set when you sign up and cannot be changed directly. Contact support if you need it changed.
How many products can I add?
Free plan: 10 products. Growth and Pro plans allow more. You can see your current limit in Settings under your plan name.
How do I update a price?
Go to Catalog → click Edit on the product → change the price → Save. Price updates go live immediately without re-approval.
Who approves customer reviews — admin or me?
You do. Go to the Reviews tab and approve or reject each review. Only reviews you approve appear publicly on your store.
Can customers order directly from my store?
DigitalRateCard is a digital catalog — customers see your products and prices, then contact you via WhatsApp or Callback. There is no built-in checkout. You manage orders manually from the Sales → Orders tab.
How do I upgrade my plan?
Go to Settings → Upgrade Plan. Choose your plan, click Request Upgrade. Our team will contact you on WhatsApp. Plan is activated within a few hours of payment confirmation.
I need more help. How do I contact support?
